TITLE: *Payroll Clerk *
QUALIFICATIONS: - High School Diploma.
- Minimum two years experience in payroll.
- Basic knowledge of accounting procedures, computer experience, a working knowledge of basic office procedure, and the operation of office equipment and machines.
- Such alternatives to the above qualifications as the Board may find appropriate and acceptable.
- Ability to work effectively in a team environment.
REPORTS TO: Director of Business JOB OBJECTIVE: To promptly and accurately handle all payroll matters and to assist in the maintenance of the district’s financial records.
GENERAL DUTIES: 1.
Performs all duties as prescribed in the employee’s specific Responsibilities.
2.
Cooperates with members of the staff – administrative, professional and non-instructional, community, and student body.
3.
Takes all necessary and reasonable precautions to protect equipment, materials and facilities.
4.
Assists in upholding and enforcing school rules, administrative regulations, and Board policy.
5.
Maintains the confidentiality of school personnel, students, and district business in a professional manner and abide by all HIPAA (Health Insurance Portability Accountability Act) Regulations.
6.
Demonstrates self-control and maintains a positive attitude toward the job and toward the school district as a whole.
7.
Attends and participates in appropriate building and district meetings.
8.
Demonstrates cleanliness, neatness, and dresses appropriately for the job.
REPONSIBILITIES: 1.
Receives and processes all payroll documents, runs the payroll making all applicable deductions and maintains records of same.
2.
Prepares all payroll related bi-weekly, monthly, quarterly and annual reports and payments, keeping earnings and tax records on both a fiscal and calendar year basis.
3.
Prepares financial statements, journal entries and verifies all balances for the payroll fund.
4.
Assists in setting up and closing books at year’s end.
5.
Receives, verifies for accuracy, balances, and distributes yearly W-2 forms.
6.
Maintains a regular filing system, including confidential professional and non-instructional personnel, keeping records of staff leaves and absences and submits annual status reports to employees.
7.
Serves as a liaison with all staff members regarding benefits, annuities and deductions.
8.
Prepares for payment and keeps records of all employees’ insurances and assists in resolving all insurance related problems.
9.
Prepares and completes reports for retirement, unemployment compensation, and Workmen’s Compensation.
10.
Provides information to various agencies verifying employment of present and past employees.
11.
Prepares annual reasonable assurance letters to substitutes, part time employees and full time nine- month employees regarding unemployment compensation.
12.
Assists in preparing all monthly financial reports of the general fund for the board agenda.
13.
Maintains daily records of all financial transactions of the district, and deposits all monies.
14.
Keeps monthly billing file based on board approved Use of Facilities and invoices appropriate organizations for services rendered by the Girard School District.
15.
Participates in annual budget preparation.
16.
Serves as the District Notary Public, if required 17.
Assist in preparing information for local and state auditors.
18.
Places and receives calls, records messages, and sorts and processes mail.
19.
Types correspondence and reports as requested.
20.
Attends appropriate meetings, workshops, and conferences as requested.
21.
Performs other duties as assigned by the supervisor.

Incumbent must be able to sit at desk for extended periods of time.
This role routinely uses standard office equipment with a vast majority of the time utilizing computers to complete daily tasks.
Due to travel outside of the home office, candidates are required to have a vehicle and valid driver’s license to attend job related duties, meetings, seminars, and trainings.
