ECOS is collecting the personal data of the candidates directly (by soliciting it) or indirectly (when the data is indicated in the job application/CV). In any circumstances ECOS is committed to protect the data and the privacy of the applicants.
ECOS commits to manage your personal data according with the applicable legislation on the processing of personal data: the GDPR (General Data Protection Regulation). The GDPR is the text on data protection at European level referring to the collection and use of personal data. The rules of the GDPR repeal Directive 95/46/EC and apply, as of May 25, 2018, to all private or public companies in the Member States of the European Union. ECOS is collecting the personal data of the candidates directly (by soliciting it) or indirectly (when the data is indicated in the application/CV). In any circumstances ECOS is committed to protect the privacy of applicants.
WHAT DATA WE COLLECT
ECOS collects only the personal data that you shared with and/or communicated to us via your application or orally. By personal data we mean information relating to you or based on which you may be identified. Personal data shared consists of, but not limited to:
- • Last name • First name • Sex • Language • Date of Birth • Address • E-mail address • Phone number • Mobile number • Previous Employers • Work permit (if applicable) • Pictures • Skills and competencies; hobbies and interests • Any other personal data that you shared via your application and relevant to the role.

WHY ECOS IS COLLECTING YOUR PERSONAL DATA
In the framework of a call for a job/internship/expert or consultancy offer, ECOS is outlining the requirements the applicants must fulfil to be able to perform in the role. The candidates answering to the call send the curriculum vitae and motivation letters as part of the application. These contain personal and sensitive data. ECOS collects this data to register the application, but also saving it in the event of a potential recruitment should the candidate be successful. The same procedure applies to spontaneous applications, sent outside any call for job offer.
WHO WILL HAVE ACCESS TO YOUR DATA
In the framework of a job advertisement and collection of application, ECOS is the exclusive processor of your data and will not/ shall not share it with third parties without your consent and prior information provided to you. Access to applicant data is limited to the ECOS processors who are involved in the recruitment activities Should your application be processed in the framework of an internship your data will be shared with:

Bruxelles Formation is, in Belgium, is the organization responsible for the public service of vocational training for French-speakers in the Brussels-Capital Region. ECOS must obtain the approval of this entity to be able to register a candidate with a Professional Immersion Agreement (fr. Convention d’Immersion Professionnelle).
ECOS will never give your details to a third party for commercial purposes and we do not make the personal data public. Your data will not be stored or transferred outside Europe. Some data is collected using cookies.

HOW LONG YOUR DATA IS STORED /SAVED WITH ECOS
Your personal data will be stored for as long as the recruitment process for the position lasts, including all the readvertisements might occur.
ECOS will retain the personal data of the candidate after the recruitment and selection process if there is a legal obligation to do so (e.g. equal opportunity requirements in local employment laws), or if there is a ‘business need’ to keep the applicant data, e.g. keeping an applicant’s resume on file if a suitable vacancy arises.
In case the recruitment does not result in an employment/internship or service relationship, your personal data will be retained for a maximum period of 2 years after the end of the application.
EXERCISING YOUR RIGHTS CONCERNING THE PROTECTION OF YOUR PERSONAL DATA

for any questions regarding the processing of your personal data and to exercise the rights granted to you by GDPR. These are the rights of access, rectification, restriction, erasure, and objection. The exercise of these rights is in principle free of charge. However, in the case of manifestly unfounded or excessive requests, you may charge a reasonable fee or refuse to comply with your request.
RIGHTS OF ACCESS
You have the right to ask the controller how your data was processes, the categories of recipients to whom the data have been communicated, and the data retention period. ECOS will reply to you in in the course of max 2 months.
RIGHT OF CORRECTION
The controller is obliged to process correct data and, if necessary, to take measures to correct it. As part of this obligation, you have the right to request and obtain the rectification of any personal data concerning you which is incorrect.
RIGHT TO RESTRICTION OF PROCESSING
You have the right to request and obtain the restriction of the processing of your personal data.
RIGHT TO DATA DELETION (“RIGHT TO BE FORGOTTEN”)
You can request the controller to delete your data should you believe that they are being processed unlawfully.
RIGHT OF OBJECTION
You have the right to object to the processing of your personal data by the controller, at any time, for reasons relating to your situation. The controller may object if there are compelling legitimate grounds for the processing which outweigh your interests, rights and freedoms or which are related to the establishment, exercise or justification of a right to justice.
RIGHT TO DATA PORTABILITY
You have the right to receive your data as to transfer it to another authority.
SECURITY
Your data is treated securely. ECOS uses technical, organisational and physical security measures to properly protect your data against unauthorized access, use, loss or disclosure. These measures and measures are tested periodically and adapted as needed. ECOS put in place procedures to deal with any data security breach and will notify applicants as soon as possible of a suspected breach where legally required to do so.
COMPLAINT TO THE DATA PROTECTION AUTHORITY
If you believe that the data controller has not processed your personal data in accordance with the provisions of the “GDPR” and the provisions of Belgian law in this matter, you have the possibility of submitting a complaint with the Data Protection Authority (“DPA”).
