Save time with smart scheduling in Google Calendar

Some topics are best discussed in face-to-face meetings, but setting them up takes too much time. Whether you’re coordinating across time zones, hunting for a room, or just trying to find a time that works for more than a couple of people — it really adds up.

If you’re using G Suite, “Find a time” already lets you set up meetings much faster in Calendar on Android. Today it’s coming to iOS and by the end of the year, the web. We’re also adding smart room booking, so you can easily find a place to meet as well.

Powered by Google’s machine intelligence, “Find a time” suggests meeting times and available rooms based on your preferences, which saves you lots of time and gets everyone together faster. Time and room suggestions are smart, too: They don’t just identify the first free slot in a grid, they also locate the next best slots as a back-up. For example, when Calendar doesn’t find availability for your preferred time, it then looks for conflicts across the group that are easier to resolve, such as recurring 1:1 meetings. And although “Find a time” makes smart suggestions, you're always in control — just tap the grid to pick a time that's a better fit.

Better emails, tailored to all your devices

Have you ever opened an email on your phone and something about the formatting just looks … off? Maybe the text is hard to read, or the buttons and links too small to tap. That’s because many emails are still formatted for computers' larger screens, which means reading them on mobile can be a hassle.

Starting later this month, Gmail and Inbox by Gmail will support emails created with responsive design, meaning their content adapts to fit screens of all sizes. Text, links, and even buttons will enlarge to make reading and tapping easier on a smaller screen. If you’re on desktop, you’ll also see improvements, since emails designed for mobile can also adapt to fit larger screens.

These changes will make your email experience as comfortable and intuitive as possible. And as responsive design becomes more common, you’ll continue to see emails that fit better on all your screens and devices.

Inbox by Gmail: Evolving the inbox to save you time

Staying on top of your to-do list can be a challenge. In order to get things done, you often need to hunt through your inbox to find what you’re looking for, whether it’s info about upcoming events, your next trip, or a news article you want to share with colleagues.

The team behind Inbox has made its mission to help you organize your email and save you time. Starting today, you'll discover more integrations that make it easier to see what's happening and then act with organized Trello and GitHub project updates and Google Alerts previews. You'll also see updates based on your feedback, including Google Drive integration.

Get organized Trello and GitHub project updates
The Inbox team has worked with Trello, a project management application, and GitHub, a software collaboration platform, to improve email notifications. If you use Trello, you'll get a summary of what's new with your Trello projects, so you can stay up-to-date on the latest updates. And for those of you who use GitHub, you’ll get a summary of code changes and filed issues for each repository.

Stay on top of your Google Alerts
To help you stay in the know on topics you care about, you can scan through your Google Alerts just like a newsletter. New alerts are summarized right in the inbox. If one of them catches your eye, you can click to read more. If not, you can quickly mark it as done.

Enjoy other updates based on your feedback
You'll also see a number of highly-requested features based on your feedback (thank you!):

If you use Google Drive, you can now insert Drive links into emails, check and fix permissions for those links, and save email attachments to Drive.
You can now drag-and-drop contacts between to, cc, and bcc in compose on web.
You can delete right from the inbox just as easily as you can mark as done.

Google Calendar for Android: Find a time for my meeting

Smartphones have made productivity portable. You no longer have to be at your desk to catch up on meeting notes, dial into a conference call, or send an email. But scheduling meetings on the go is still difficult, as you have to open your laptop to check everyone’s calendar and find a time that works.

Starting today, if you use Google Apps for Work or Edu, you can schedule meetings from anywhere with "Find a time" in Google Calendar for Android.

With a single tap, “Find a time” helps you find meeting times that work for everyone—even if they're in different time zones—based on their availability and the times they usually have meetings. If there are no times that work, Calendar will look at which conflicting meetings can most easily be rescheduled. Designed specifically for organizations where sharing your calendar with colleagues is the norm, here's how it works:

“Find a time” makes suggestions, but you're still in control. You can tap to see everyone's schedule at a glance—perfect for making sure the timing works for all. And if you manage someone else's calendar, you can use the feature to schedule meetings on their behalf as well.

Download Google Calendar for Android to get easy, on-the-go scheduling. And yes, we're also working on bringing “Find a time” to iPhone, as well as easier ways to schedule on the web.

Inbox by Gmail: a better way to keep track of events, newsletters and links

It's all (mostly) important, but it can be overwhelming to stay on top of everything. And sometimes, you might miss something really important amidst all the rest.

Starting today, you'll discover three new experiences in Inbox—streamlined events, glanceable newsletters and saved links—that help you better keep track of things that matter to you and feel more in control.

Keep up with Google Calendar events
Events can be hard to keep track of in your inbox because details—and people’s plans—may change. Inbox now gathers emails from a single event together and shows you what's changed at a glance. When you tap on an event, you'll see a comprehensive overview, all in one place.

Stay on top of your favorite email newsletters
Similarly, it’s now easier to preview the newsletters you read often and click through to the articles that interest you most. And once you've taken a look at the latest, newsletters will minimize to save space in the inbox.

Store links to remember with "Save to Inbox"
Lastly, your inbox is much more than just the emails sent to you. Chances are you've emailed yourself a link or two (or three)—to an article you want to read later or a recipe you want to try. Now instead of sending yourself a bunch of separate emails, try the new "Save to Inbox" feature to easily save links for later.

Simply share the link to Inbox on Android or iOS, or use the new Inbox by Gmail Chrome extension on web. When you check your email, you'll see your saved links grouped together in one place.

Find time for your goals with Google Calendar

Whether it’s reading more books, learning a new language or working out regularly, achieving your goals can be really hard. One day it's "I got called into a last-minute meeting." The next day it's "I have a friend in town." And before you know it, your goals are delayed or forgotten. In fact, with all the things you need to do in a given week, it’s probably harder than ever to find the time—even when your goal really matters to you.

That’s why starting today, we’re introducing Goals in Google Calendar. Just add a personal goal—like “run 3 times a week”—and Calendar will help you find the time and stick to it.
Goals are easy to set up
To set a goal (like “Work out more”), simply answer a few questions (like “How often?” and “Best time?”), and you’re all set. From there Calendar will look at your schedule and find the best windows to pencil in time for that goal.

Goals adjust to your busy life
Goals aren't easy—especially when the unexpected comes up—but Calendar can help you adjust in a number of important ways. For example, Calendar will automatically reschedule if you add another event that's a direct conflict with a goal.

You can also defer a goal at any time, and Calendar will make time for it later.

Finally, Calendar actually gets better at scheduling the more you use it—just defer, edit or complete your goals like normal, and Calendar will choose even better times in the future.

Calendars should help you make the most of your time—not just be tools to track events. So as Google Calendar turns 10 today (🎉), we're excited to invest in more updates like Goals, and to help you find time for everything that matters—from your daily must-dos, to exercising more, to just a little "me time."

Reminders come to Google Calendar on the web

Starting this week, we’re bringing Reminders in Google Calendar to the web so you can keep track of your to-dos alongside your events.

Just like on Android and iPhone, you’ll get the following:

Reminders stick around - If a reminder isn't completed, it will appear at the top of your calendar until you mark it done.
Reminders work across Google - Reminders you create in Inbox, Keep, and the Google app will also show in Google Calendar.
Reminders sync with mobile - Reminders created in mobile show up on the web and vice versa. So you can stay on track from just about anywhere.

With Reminders alongside your events on the web, Android and iPhone, you now have a single way to manage your day.

Introducing Gmail Mic Drop

UPDATE April 1 2pm: We heard feedback that some of you were negatively impacted by this feature, so we quickly turned it off late last night. In addition, we are working to bring back Mic-Dropped messages that had subsequent replies to your inbox, so you can read those.

We realize many of you use Gmail for very important messages, and we are sorry if Mic Drop was in any way harmful to you. Note that if you’re a Google Apps business, education or government user this feature was never turned on.

At Google we have a culture of sharing what we learned when things go wrong, and we want to share these learnings with you:

We should have asked you before turning on the feature, and it should have included a confirmation before sending.
We didn't anticipate accidental clicks: "Send + Mic Drop" was too close to other send buttons ("Send" as well as "Send & Archive"), which caused confusion.
And yes there was a bug. It was rare, but possible to press the regular "Send" button and still Mic Drop if you did the following:

Opened a new compose window

Pressed the “Send & Mic Drop” button with no recipients and saw error message

Edited the message by adding message recipient(s)

Pressed the regular send button.

Again, sorry. We love April Fools jokes at Google, and we regret that this joke missed the mark and disappointed you.

UPDATE April 1 1am: Well, it looks like we pranked ourselves this year. 😟 Due to a bug, the Mic Drop feature inadvertently caused more headaches than laughs. We’re truly sorry. The feature has been turned off. If you are still seeing it, please reload your Gmail page.

Email's great, but sometimes you just wanna hit the eject button. Like those heated threads at work, when everyone's wrong except you (obviously). Or those times when someone's seeking group approval, but your opinion is the only one that matters (amirite?). Or maybe you just nailed it, and there's nothing more to say (bam).

Today, Gmail is making it easier to have the last word on any email with Mic Drop. Simply reply to any email using the new 'Send + Mic Drop' button. Everyone will get your message, but that's the last you'll ever hear about it. Yes, even if folks try to respond, you won't see it.

When you drop the mic, your email will also include an explanatory image--just to help set expectations.

Friends and family have been testing Gmail Mic Drop for months, and the response so far has been awesome:

"Sending email is so much easier when you don't have to worry about people responding!"
"Mic Drop is a huge improvement over Mute! I can finally let everyone know I'm just not interested."
"My team solves problems so much faster with Mic Drop. In fact, we stopped talking to each other entirely!"

Gmail Mic Drop is launching first on the web, but mobile updates are on the way. So stay tuned, and stay saucy.

Express yo'self with emoji in Smart Reply

When someone emails you asking to schedule a meeting, there's a good chance you're thinking, "Aw 💩 ." Or, when you get that 17th update on that topic you stopped caring about 10 emails ago, you just wanna say 💤 . Or maybe your friend just emailed you photos from Vegas, and you get inspired to stand up and 👏 . Whatever you want to say, emoji can say it better (obvs). So we figured we'd take the deep neural network behind Smart Reply, and make it more sassy.

The result is emoji suggestions in addition to (or instead of) really boring text replies. In our testing, we've also found that emoji do a better job of plumbing the emotional depths of one's soul, so we're optimistic that today's update will encourage more open and honest email conversations.

Looking ahead, Smart Reply will actually get better the more you use it, so you'll be able to strike just the right balance between written responses, and 😍 😱 🛀 🎉.

PS: Smart Reply is only suggesting emoji. We are investigating. Pardon our dust.

PPS: We are happy to report that our deep neural network had quickly learned that when given a choice, you, our users, always pick emoji. Smart Reply adapted so quickly that we thought it was a bug. Thankfully, Smart Reply will continue to show the three most perfect replies, which happen to always be emoji.

Just like in the Inbox mobile app, Smart Reply saves you precious time by suggesting up to three responses based on the emails you get. Selecting an option starts a reply, ready for you to either edit or send:

10% of all your replies on mobile already use Smart Reply, so we’re excited to bring this same convenience to the web. It's particularly helpful when you're jamming through lots of emails on your laptop.

Inbox by Gmail: Saving time with Snooze

Snoozing emails is great because it helps you focus on what you need to do now instead of what you can put off until later. Starting today, Snooze is getting a new look and two time-saving improvements — all based on your feedback.

First, Snooze is getting two highly-requested snooze times: Later this week and This weekend. These new options should hopefully save you some time, and decrease the need to use custom snooze.

Productivity at your fingertips with rich text formatting and instant RSVPs

These days, more than two-thirds of all Gmail users check email with their phones, so having a really amazing mobile experience is more important than ever. That’s why today, we’re introducing two new Android features to help you manage your inbox on the go: rich text formatting and instant RSVPs.

Rich Text Formatting
Now you can add bold, italic, underlined, colored and highlighted text to your email—all from inside the mobile app. These new options are great for making a point or emphasizing what’s important.

Instant RSVPs
If you use Google Calendar or Microsoft Exchange, calendar invitations now include a one-tap option to show your schedule and respond. No more opening up separate apps just to see if you can squeeze in a meeting.

Gmailify: The best of Gmail, without an @gmail address

For the last year, you’ve been able to access your email from other providers, like Yahoo! Mail or Outlook.com, in the Gmail app on Android. And we’ve been getting lots of great feedback from those of you that do. Many of you would like more of Gmail’s powerful features, like spam protection and inbox organization, on these accounts—but don’t want to go through the hassle of changing your email address.

We agree. So starting today, if you use Yahoo! Mail or Hotmail/Outlook.com, you now have the option to Gmailify your inbox.

Gmailify links your existing account to Gmail so that you get all the bells and whistles—spam protection, inbox organization and even Google Now cards based on your mail—without having to leave your current address behind.

All you need to do is open the Gmail app, sign in to your email account(s), and enable Gmailify. And of course, you're always in control—so if you ever change your mind, you can unlink your account(s) at any time, and continue to access them through the Gmail app without using Gmailify.
We’re really excited to bring the best of Gmail to more people, and we’re planning to add other email providers to Gmailify in the future.

Making email safer for you

It’s Safer Internet Day, and when it comes to the security of your email, we don’t mess around. Gmail has always supported encryption in transit using TLS, and will automatically encrypt your incoming and outgoing emails if it can. We support industry-standard authentication to help combat email impersonation. And there are tons of other security measures running behind the scenes to keep your email safe.

Of course, it takes at least two people to send and receive an email, so it’s really important that other services take similar measures to protect your messages---not just Gmail. Unfortunately, not all email services do. And that’s why, starting this week in Gmail on the web, you’ll see two changes that highlight any affected messages:

If you receive a message from, or are about to send a message to, someone whose email service doesn’t support TLS encryption, you’ll see a broken lock icon in the message.
If you receive a message that can’t be authenticated, you’ll see a question mark in place of the sender’s profile photo, corporate logo, or avatar.

Not all affected email will necessarily be dangerous. But we encourage you to be extra careful about replying to, or clicking on links in messages that you’re not sure about. And with these updates, you’ll have the tools to make these kinds of decisions.

Inbox by Gmail: find answers even faster

The challenge is, these bits of info are often buried inside larger conversations. Starting today, Inbox includes a number of improvements to help you find answers even faster.

Answers at a glance
Now when you're searching for a frequent flyer number or shipping status (for example), Inbox will show it at the top of search results–no more digging through individual emails to find what you're looking for.

Get addresses, phone numbers, membership numbers, flights, events, bills, package tracking and more in seconds.

Streamlined search results
Underneath any quick answers, you'll see a "Top results" section that orders emails by relevance. Below that is all the email results, ordered by date, but chances are you won't have to look here often.

Every second counts, so start saving time with Inbox, and spend it on what matters most.

Sharing travel plans and memories with Inbox by Gmail

The holidays are full of traveling, get-togethers and sharing memories. Now Inbox is making all of these things a bit easier, with an update to Trip Bundles and mobile attachments.

You've told us how much you love that Trip Bundles summarize all of the important info about your trip. So, starting this week, you'll be able to share those summaries with friends and family with one tap.

You can also add emails to a trip (a top feature request!) using the Move to... menu, and view trips offline—perfect for when you're on a plane or using spotty WiFi.

While you're traveling, you might end up taking a lot of photos. Improved mobile attachments give you quick access to your recent photos, and let you attach multiple photos at once.

Add to-dos to your Google Calendar using Reminders

Our calendars should help us make the most of our time — scheduling meetings at work, remembering brunch with friends, and keeping track of all our other commitments. But often our to-do list is elsewhere, separate from the Calendar that organizes our day, and we end up overcommitted or miss something important because we forgot to check our list.

Now there's a single way to manage your day: starting this week, you can create Reminders in Google Calendar to keep track of your to-dos alongside your scheduled events.

Reminders stick around
You might already create calendar entries to remind you to call the doctor or pick up groceries on the way home. But while those entries come and go, Reminders stick with you over time so you can track them until they are actually done. If a Reminder isn't completed, it will appear at the top of your Calendar the next day. And the next. When you do finally call the doctor or pick up those necessities, just swipe the Reminder away ... and you're onto the next to-do.

Reminders help with the details
Another way Reminders are more useful than events is that Calendar adds things like phone numbers and addresses automatically. So if you add a Reminder to make a call or run an errand, the number or address will be right there when you need it. Just like Inbox by Gmail, Calendar uses information from your contacts, as well as Google's knowledge graph to provide this extra bit of help.

Reminders work across Google
You can also create Reminders from Inbox, Keep, and Google Now. This means you can create a Reminder when you're checking your email and it will show up on your calendar right away. Plans change? Just move the Reminder to a better time. Or if your hands are full, you can record your Reminders in Google Now一like, "Ok Google, remind me to buy birthday candles"一then mark it as done later in Calendar.

Reminders will be rolling out this week with the latest versions of Calendar on Google Play and the App Store. And don't worry, we're working on bringing Reminders to the web as well.

Computer, respond to this email: Introducing Smart Reply in Inbox by Gmail

With the holidays approaching and emails coming in at a furious pace, we can all use a little help. Inbox is already on hand assisting you with the next step, organizing your trips, and even suggesting reminders.

But when you're checking email on the go, it can be cumbersome and time-consuming to reply to all or even some of them. What if there was a way for your inbox to guess which emails can be answered with a short reply, prepare a few responses on your behalf and present them to you, one tap away?

Well, starting later this week, Inbox will do just that with Smart Reply.

Smart Reply suggests up to three responses based on the emails you get. For those emails that only need a quick response, it can take care of the thinking and save precious time spent typing. And for those emails that require a bit more thought, it gives you a jump start so you can respond right away.

There's actually a lot going on behind the scenes to make Smart Reply work. Inbox uses machine learning to recognize emails that need responses and to generate the natural language responses on the fly. If you're interested in how Smart Reply works, including how researchers got machine learning to work on a data set that they never saw, you can read more about it on the Google Research Blog.

And much like how Inbox gets better when you report spam, the responses you choose (or don't choose!) help improve future suggestions. For example, when Smart Reply was tested at Google, a common suggestion in the workplace was "I love you." Thanks to Googler feedback, Smart Reply is now SFW :)

Smart Reply will be rolling out later this week on both Google Play and the App Store in English. If you've got a lot of emails on your plate, now's a great time to try Inbox and get through them faster than ever.

New Calendar illustrations in 30 languages

Your calendar is more than just a list of dates and times — it’s your life! That’s why Calendar adds illustrations to many of your favorite events automatically.

Today we're improving these illustrations in two ways. First, you'll find over a dozen more of them for events like weddings and Halloween parties. Second, illustrations will now appear in 30 languages--from Dutch and Finnish to Catalan and Korean--giving our global community of users a new way to celebrate their day.

We’ll be making more illustrations soon, and we want your help creating them. Just tweet a photo of an event you love with the hashtag #makethemost. We’ll select our favorites as inspiration for the next set of Calendar illustrations.

Stay in control with Block and Unsubscribe

Sometimes you get mail from someone who’s really disruptive. Hopefully it doesn’t happen often—but when it does, you should be able to say, “Never see messages from this person again.” That’s why you can now block specific email addresses in Gmail—starting today on the web, and over the next week on Android. Future mail will go to the spam folder (and you can always unblock in Settings).

In addition, the unsubscribe option is now making its way to Android, so you’ll be able to opt out of eligible mailing lists directly from the Gmail app. It’s perfect for those newsletters you subscribed to a while back but don’t read any more.

So try block or unsubscribe when the situation calls for it. And stay in control of your inbox.

Inbox by Gmail: Snooze to just the right time

Wouldn’t it be nice if your concert ticket appeared at the top of your inbox just before the event started, or your hotel confirmation came back right before you needed to check in?

Starting today, Snooze in Inbox is getting a bit more convenient—when you snooze an email that has dates and times (like event confirmations or shipping notifications), you’ll get a one-tap option to snooze to exactly the right time, like the day of your concert or the morning your package will arrive.

You'll see these new Snooze options on most of these types of emails:

Package tracking updates
Restaurant and event reservations
Calendar invites
Flight confirmations
Hotel reservations
Rental car reservations

So next time, try snoozing that email to the day before the event. Then sit back and relax, knowing your email will come back at just the right time.

The mail you want, not the spam you don’t

The Gmail team is always working hard to make sure that every message you care about arrives in your inbox, and all the spam you don’t want remains out of sight. In fact, less than 0.1% of email in the average Gmail inbox is spam, and the amount of wanted mail landing in the spam folder is even lower, at under 0.05%.

Even still, Gmail spam detection isn’t perfect. So today we’re sharing some of the new ways we are supporting the senders of wanted mail, and using the latest Google smarts to filter out spam.

Getting the mail you do want with Gmail Postmaster Tools
Gmail users get lots of important email from companies like banks and airlines—from monthly statements to ticket receipts—but sometimes these wanted messages are mistakenly classified as spam. When this happens, you might have to wade through your spam folder to find that one important email (yuck!). We can help senders to do better, so today we’re launching the Gmail Postmaster Tools.

The Gmail Postmaster Tools help qualified high-volume senders analyze their email, including data on delivery errors, spam reports, and reputation. Google smarts for less spam
Since the beginning, machine learning has helped make the Gmail spam filter more awesome. When you click the “Report spam” and “Not spam” buttons, you’re not only improving your Gmail experience right then and there, you’re also training Gmail’s filters to identify spam vs. wanted mail in the future. Now, we are bringing the same intelligence developed for Google Search and Google Now to make the spam filter smarter in a number of ways.

For starters, the spam filter now uses an artificial neural network to detect and block the especially sneaky spam—the kind that could actually pass for wanted mail.
We also recognize that not all inboxes are alike. So while your neighbor may love weekly email newsletters, you may loathe them. With advances in machine learning, the spam filter can now reflect these individual preferences.
Finally, the spam filter is better than ever at rooting out email impersonation—that nasty source of most phishing scams. Thanks to new machine learning signals, Gmail can now figure out whether a message actually came from its sender, and keep bogus email at bay.

Express yourself in email: hundreds more themes, plus emoji

Your inbox is home to some of your most meaningful and entertaining messages—from that acceptance letter, to those throwback photos—so we think it’s important for Gmail to feel just as personal (and fun!). That’s why we offer lots of ways to customize your experience—from inbox categories, to email formatting, to shareable selfies—and why today we’re expanding your options with additional themes, and emoji.

A wider selection of themes
Themes can help you dress up your inbox, as well as distinguish between your home and work accounts, so they’ve been an important part of Gmail since they first appeared in 2008. Starting today there are hundreds more high-res options available (photographed by some fellow Googlers!). And of course, you can always upload your own.

Once you’ve found the right photo, you can now use editing tools like blur, vignette, and text background to make your image and messages look great together.

Emoji all the things
Sometimes you just can’t find the words to express how you’re feeling over email. But fret no more, because today’s Gmail update includes emoji for just about every occasion.

Excited about this weekend’s barbecue? Finalize the menu, dress code and after-dinner plans with just a few characters:. Running a few minutes late? Let your friend know you’ll be there at. Whatever the situation, sending emoji is now a piece of.

Inbox by Gmail: Say adios to “Oops” with Undo Send

That moment when you press send and immediately realize you made a terrible mistake. But it's too late. We all need to travel back a few seconds every once in a while, so with Inbox you can take back an email right after sending. Undo Send in Inbox launched a few weeks ago, and now it’s available on Android, iOS and the web. So enjoy those second chances!

Google Calendar for iPhone: more ways to stay on top of your schedule

Since the new Google Calendar app arrived, you've given us lots of great feedback that has guided our updates. Starting today, you'll see improvements to Google Calendar on iPhone that follow the recent improvements to the Android app.

To start, you can now see more events at a glance with 7-day week view and customize your calendar with week numbers on iPhone.

You can now also add Google Drive files, like Docs and Sheets or pictures and PDFs, directly to events on your iPhone and Google Calendar on the web, just like you can on Android. Drive will even check if everyone has access to the files and if not, ask you if you'd like to share with them.

Sometimes, getting notified of an upcoming event isn’t enough—you might need to contact other attendees, or figure out the best way to get there. With interactive notifications on the iPhone, you can now email guests and view maps with one tap.

We have a lot more improvements based on your feedback coming, so stay tuned!

P.S. If you're a developer, you can now add Drive files, including Docs, Sheets and Slides, to Google Calendar events created through the Calendar API.
