The Lease Administrator is critical member of the real estate team reporting to the DVP of Real Estate, who will manage all aspects of lease administration for American Freight Stores including being responsible for preparing, interpreting and tracking all forms of leases and legal documents in a timely manner.

Job Duties/Responsibilities:
Complete real estate forms associated with real estate transactions including but not limited to, estoppels, SNDAs, leases, demand letters, request for demand recission, etc.
Review leases prepared by legal team against LOIs to ensure deal terms are accurate
Prepare and/or revise Lease Summaries (Abstracts) in Lease Query
Assist in tracking critical dates pursuant to legal documents (i.
e.
, rent and renewal dates) using Lease Query Software
Develop new value-added portfolio reporting
Maintain and update RE database as required including uploading key documents
Scan documents and maintain databases with up-to-date information as it is accumulated
Request and obtain vendor set up forms from landlords for new leases, review and distribute as required
Review, respond and manage inbound mail to ensure items are responded to timely or directed to the appropriate individuals for the real estate department
Collaborate with internal and external counsel on various legal matters related to real estate
Research and respond to landlord payment issues with the lease accounting team
Research leases to determine responsibility for maintenance issues and communicate to facility/field teams
Provide support to external auditors to provide required information for audits as needed as it relates to leases and the activities related to real estate as may be required quarterly
Ensure compliance with requirements for portfolio of leases including monitoring and providing required Certificate of Insurance from insurance provider, sales reports and notices as applicable
Enhance and create real estate processes for lease administration
Prepare requests to landlords for tenant allowances and work with cross-functional teams to obtain required documentation as needed
Work with construction team to obtain landlord turnover documents
Prepare Lease Supplement forms for signatures
Participate in special projects as needed from time to time to support and drive corporate initiatives
Collaborate with lease accounting team to review rent file for accuracy prior to processing and review approve/investigate CAM/INS/RET reconciliations

Proficient in Microsoft Word, Excel, PowerPoint, Outlook and internet resources
Lease Query or similar real estate administration software experience a plus
Ability to achieve or exceed deadlines
Paralegal experience a plus

Financial aptitude
Accounting/finance background a plus
