The Hadler Companies are seeking a full-time Real Estate Executive Assistant & Corporate Administrator for our headquarters in Columbus, Ohio.
This position will be responsible for assisting the CEO & President with assigned tasks, perform corporate record keeping & coordination, perform office administrator roles as needed and perform real estate functions and corporate recordkeeping/coordination (see below for more responsibilities).

Come see why The Hadler Companies has just celebrated over 76 years in business! *Essential Duties and Responsibilities:* The essential functions include, but are not limited to the following: _Real Estate Functions:_ * (1) Keep current with all news and legal updates in the real estate industry and help keep licensees up to date with changes and new protocols.
* (2) Administrative side of real estate transactions: check files for completion and accuracy, enter listings in listing services, update listings with status changes, transaction coordination for closings.
* (3) Research Comparative property listings and sold transactions: Estimate value of existing corporate properties; estimate value of available listings using comp research and current market conditions; research market conditions specific to target areas and property types; routinely keep near the office and other properties.
* (4) Real Estate Sales Assistance: Act as agent backup for clients when needed, such as phone calls or meetings; signage coordination, lockboxes, assist with contracts, show properties for listings/clients when needed; occasionally hold open houses for listings, assist with marketing packages, photos.
_Corporate record keeping & coordination including:_ * (1) Annual Update of Corporate Resolutions for 13 companies * (2) Submission of Corporate Legal Documentation as requested by management, banks, attorneys, courts; knows how to locate files, corporation minute books, secretary of state * (3) Renewal of trade names upon notification * (4) Manage special projects including lot splits and combinations; coordinating with surveyors, attorneys, title companies & count officials.
* (5) Major event projects including owner-family estate matters, corporation-owned property sales or acquisitions, corporation mergers, changes in personal residences for ownership & keeping projects on track, on time, accurate and confidential being paramount.
_Other Responsibilities:_ * Assisting the CEO, President and occasionally other directors with calls, emails, internet research, preparing of documents, performing errands when necessary * Administration of legal files: updates property files with current surveys, legal descriptions and title searches; maintain legal files and keep key personal updated of property projects such as road widening, right of ways, utility infrastructure enhancements, coordinating with attorneys, appraisers, surveyors & municipal officials.
* Office Administrator roles: Assist in ensuring that office operations are covered by personnel, supplies, office machinery in working order, copiers stocked with toners, paper, serviced as needed, guests and visitors welcomed and comfortable.
* Act as the leader in setting up all logistics necessary (with staff) for the annual trade show (such as booth rental, registration, exhibit coordination, marketing/graphics planning, booth design approval, flight planning, lodging, shipping, and other convention related tasks * Ensure that all corporate licenses are active which include real estate licenses, business licenses, casino, arcade, food safety, trademarks, ect.
* Fleet Management: ensure all corporate owned vehicles are fully insured, titled, registered & licensed; ensure all titles are readily available.
* Keep on top of incoming messages for various employees including the CEO & the President.
* Family management functions for closely held property and personal residences of owners as needed * Personal call screening for the CEO & the President * Ability to act as a back up to the front desk/reception as needed (mostly when the front desk needs goes to lunch) and cross-train with leasing/marketing assistant if applicable.
* Dropbox coordination: Keep current with most recent versions/updates, removing obsolete versions; upload site plans, lighting plans & marketing packages.
* Ability to perform light remote tasks (such as emails or calls) on occasion during nights/weekends as needed and more serious remote/in-person tasks during important situations (logistics of this will be discussed during interviews) *Minimum Qualifications (Knowledge, Skills, and Abilities):* * High school degree or equivalent required (Bachelor’s degree preferred).
* Ohio Real Estate License; either currently licensed, previously licensed (with ability to reactivate past license), or ability to get an Ohio license from out of state equivalent in a speedy manner as condition of employment) * Minimum of 5-10 years of real estate experience (commercial preferred; residential sales or leasing experience is considered) * Driver’s License with reliable transportation (miles IRS reimbursable) * Ability to work independently and in a team environment as needed * Excellent interpersonal skills including strong verbal and written communication skills * Strong attention to detail, accuracy, strong organizational, multi-tasking, planning, and time management skills * Must maintain a positive attitude; owners, directors & employees must be able to seek your assistance in a helpful & optimistic manner.

Job Type: Full-time Pay: $60,000.
