While the emphasis is usually on lucid expression and convincing writing, let's not overlook a similarly vital skill known as active listening. 📚What is active listening? It involves more than just words reaching the ear. It is the art of comprehension of what really lies beneath the message, feeling the speaker, and answering appropriately. ⁉️Why is it crucial for BAs? ➡️ Gather Accurate Requirements: By actively listening, you can uncover hidden needs and avoid costly misunderstandings. ➡️ Build Stronger Relationships: Showcasing genuine interest and empathy fosters trust and collaboration. ➡️ Identify Potential Issues Early: Active listening helps you spot potential roadblocks before they become major problems. 💡Tips for Effective Active Listening: ➡️ Focus on the Speaker: Give them your undivided attention, free from distractions. ➡️ Use Nonverbal Cues: Keep eye contact, nod, and use appropriate body language. ➡️ Open-Ended Questions: These will allow for a deeper conversation and draw out more information. ➡️ Summarize Key Points: Repeat back what you have heard to make sure you understand. ➡️ Avoid Judgment: Listen without interrupting or making early judgment. 🎯Remember: Active listening is an acquired skill that will improve with practice. 🌟 BA Tip of the Week – Business Analysis Techniques – Survey or questionnaire🌟 🎯Purpose: This is used to elicit business analysis-related information in a structured way from a group of people within a relatively short period of time, helping to understand stakeholder perspectives, validate assumptions, and identify potential solutions on products, work practices or other aspects. 📚According to BABOK V3: A survey or questionnaire presents a set of questions to stakeholders and subject matter experts (SMEs), whose responses are collected and analyzed to gain knowledge about the subject matter of interest. The questions can be provided in written form or administered in person, using technology to record responses. There are two types of questions used in a survey or questionnaire: ➡️Open ended: The respondent is asked to answer questions in a free form without having to select an answer from a list of predefined responses ➡️Close ended: The respondent is asked to select from a list of predefined responses, eg: as a Yes/No response 👉 Elements 1️⃣Prepare: An effective survey or questionnaire requires thorough planning to ensure the necessary information is gathered efficiently. Follows the below steps: ⏩ Define the objective: A specific objective with clarity must be defined to articulate the purpose of the survey or questionnaire. ⏩ Define the target survey group:Identifying the survey group by size and variations (e.g., culture, language, location) informs the survey design ⏩ Choose the appropriate survey or questionnaire type: The objective will decide the type of questions to be used. ⏩ Select the sample group: Determine whether to survey the entire group or a representative subset based on the group's size, demographics, and variance. ⏩ Select the distribution and collection methods: Decide on the appropriate communication mode for each sample group. ⏩ Set the target level and timeline for response: Determine the acceptable response rate and completion criteria. ⏩ Determine if the survey or questionnaire should be supported with individual interviews: Decide on considering either pre- or post-survey or questionnaire interviews to obtain the depth of responses required. ⏩ Write the survey questions ⏩ Test the survey or questionnaire: Conducting a usability test on the survey helps identify errors and areas for improvement. 2️⃣ Distribute the Survey or Questionnaire When distributing a survey, it's important to communicate its objectives, use of results, and confidentiality arrangements. The method of distribution should be chosen based on the urgency, required security, and geographic distribution of respondents. 3️⃣ Document the results Business analysts document survey results by collating and summarizing responses, evaluating details to identify emerging themes.
