SENIOR ADMINISTRATIVE ASSISTANT, Biological Engineering (BE), to provide direct support to the department head (DH) and assume a key role coordinating day-to-day operations of the DH’s office.
Will be a point of contact for visitors, faculty, staff, students, and committee chairs; serve as liaison between the DH’s office and other MIT offices, collaborating institutions, research centers, committee chairs, and administrative support staff; sit on committees and work with different constituents in planning departmental projects/functions; organize faculty and departmental retreats, special events, seminars, and meetings, including managing event budgets; make travel arrangements; administer support for faculty affairs, e.

, searches, promotions, visa paperwork, etc.
; maintain department email lists; recommend new and interpret, implement, and ensure compliance with existing MIT policies/procedures; coordinate activities among administrative staff reporting to the DH; and perform other duties as assigned.
Job Requirements
REQUIRED: high school diploma or its equivalent; five years’ administrative, office, or related experience, preferably in an academic environment; excellent organizational, administrative, time-management, customer service, communication, and interpersonal skills; ability to handle multiple tasks simultaneously, prioritize, problem-solve, and work independently and as a team member; attention to detail; experience with event and meeting planning, arranging travel, paying invoices, ordering supplies, updating websites, reconciling accounts, and expense reimbursements; proficiency with FileMaker Pro, Photoshop, PowerPoint, web search engines, web editing tools (e.
g.
, Drupal and WordPress), Microsoft Office (Word, Outlook, Excel), Adobe Acrobat Professional, Dropbox, and Google Workspace (Docs, Forms, Sheets, Slides, and Google Drive); discretion, diplomacy, and good judgment with confidential information; and punctual attendance.
PREFERRED: bachelor’s degree, MIT experience, experience with SAP and SAPweb, and experience overseeing or leading others.
